Privacy notice

This notice explains what information Joya, the AI receptionist from Betopia Limited, uses when you talk to her, why, and the choices you have.

1. Who we are

Joya is provided by Betopia Limited. When Joya works for another organization, for example at its reception, that organization decides how visitor information is used on its premises and is responsible for it together with us. We follow applicable data protection law, including the law of Bangladesh.

2. What we collect

  • Conversation: what you say or type to Joya and her replies, kept as text.
  • Voice: your voice is recorded only while you are speaking to Joya, so it can be turned into text. Recordings are used to answer you and are not used to identify you.
  • Details you give: such as your name, phone number or the person you are visiting, when you choose to share them for a request, meeting or complaint.
  • Technical information: such as your browser or device type, language setting and approximate time zone, which help Joya work properly.
  • Camera (kiosks only): a kiosk camera notices that someone is in front of the screen. If, and only if, you agree to be remembered, Joya stores a face code (a set of numbers, not a photo) so she can greet you next time.

3. How we use it

We use this information to answer your questions, carry out what you ask for (such as telling your host you have arrived or passing on a complaint), keep a record of visits for the organization you are visiting, keep Joya safe and secure, and improve the quality of her answers. We do not sell your information, and we do not use it for advertising.

4. Who helps us

Joya relies on trusted service providers for cloud hosting, speech recognition, text-to-speech, AI language models and, where enabled, web search. They process information only to provide these services to us and under contract. Some providers may process information outside Bangladesh, with safeguards required by law. Information is shared with the organization you are visiting when it is needed to help you.

5. How long we keep it

We keep conversation records only as long as needed for the purposes above and for the organization's records, and then delete or anonymise them. Face codes are kept for a limited period that is explained to you before you agree, and you can ask for them to be deleted at any time.

6. Your choices and rights

  • You can use Joya by tapping instead of speaking, and you can decline to be remembered.
  • On a kiosk you can say or tap "forget me" to delete your face code and visit history.
  • You can ask to see, correct or delete information about you, or object to its use, by contacting us.

Joya is meant for adults and accompanied children. Face recognition is never offered to children.

7. Security

We protect information with encryption in transit, access controls and regular reviews. No system is perfectly secure, so please do not share sensitive details such as passwords, PINs or card numbers with Joya.

8. Changes

We may update this notice as Joya changes. The version on this page is the one that applies.
